    Please do not provide Social Security numbers, financial account credentials, passwords, health information, or other sensitive personal information unless we specifically request it and there is a legitimate reason for us to collect it.

    When you submit information through a form on our website, including our AI Opportunity Audit form, contact forms, booking forms, or other lead-capture forms, we collect the information you provide.     5. Phone Calls, Call Recording, and AI-Assisted Communications

    When you communicate with Blkfriars by telephone, we may collect your telephone number, the date and time of the call, call duration, information provided during the conversation, and related communication records. We record telephone calls for internal business purposes, including confirming the accuracy of information provided by prospective clients, maintaining records of communications, quality assurance, appointment scheduling, responding to inquiries, providing requested services, and improving our internal processes. We provide notice of call recording and obtain consent where required by applicable law.

    We use artificial intelligence and automated technologies through our communications and customer relationship management systems to assist with inbound telephone calls. AI-assisted functionality may be used to answer inbound calls, collect information from callers, assist with appointment scheduling, transcribe conversations, summarize conversations, organize information, route inquiries, and assist our personnel in responding to prospective clients. Our AI systems do not place outbound sales or marketing calls. If you prefer not to communicate through an AI-assisted telephone interaction, you may tell us and, where reasonably available, we may provide another method of communication.

    6. AI Opportunity Audit and Artificial Intelligence

    Blkfriars uses artificial intelligence tools to assist with certain services, including the AI Opportunity Audit. When you submit information for an AI Opportunity Audit, the information you provide may be processed using ChatGPT, an artificial intelligence service provided by OpenAI, to help analyze your responses and prepare an assessment, recommendations, or related output. Information processed for an AI Opportunity Audit may include business name, business website, industry, company size, lead volume, existing tools and systems, business processes, business challenges, business objectives, information contained in your responses, and other information you voluntarily provide.

    AI-generated output from the AI Opportunity Audit is subject to human review before it is provided or relied upon as part of our service. Artificial intelligence systems can produce inaccurate, incomplete, or unexpected results. Human review is therefore incorporated into our AI Opportunity Audit process. You should not submit confidential information belonging to another person or organization, sensitive personal information, passwords, financial credentials, or information you are not authorized to disclose. Information submitted through AI-assisted services may be processed by third-party technology providers acting in connection with the services they provide to us.

    7. SMS Messaging

    If you separately opt in to receive SMS messages from Blkfriars, we collect your mobile telephone number and information relating to your consent. Where applicable, our records may include your mobile telephone number, date and time of consent, source or webpage where consent was provided, version of the consent language presented to you, consent status, and opt-out information.

    We may send two categories of SMS messages. Transactional or informational messages may include responses to inquiries, requested AI Opportunity Audit updates, appointment confirmations, appointment reminders, rescheduling information, service-related communications, and account or customer-service notifications. Where you have provided any consent required by applicable law, marketing messages may include educational content, information about Blkfriars services, offers, promotions, follow-up communications, and other marketing communications.

    Transactional and marketing SMS consent are collected separately where applicable. SMS consent is optional. We do not preselect SMS consent checkboxes, and consent to receive marketing SMS messages is not a condition of purchasing goods or services. You may opt out of SMS messages by replying STOP or by using another reasonable opt-out method communicated to us. Where supported, replying START may request that eligible messaging resume. Promotional messaging will resume only where we have any consent required by applicable law.

    Mobile information, SMS opt-in data, and SMS consent records will not be sold, rented, or disclosed to third parties or affiliates for their own marketing or promotional purposes. We may disclose information to communications service providers as necessary to transmit messages, provide customer support, maintain security, or provide services requested by you.     8. Email Communications

You may unsubscribe from promotional emails at any time by using the unsubscribe mechanism contained in the email. Even after you unsubscribe from promotional communications, we may continue sending non-promotional communications relating to an existing transaction, inquiry, appointment, service, request, legal obligation, or other ongoing business relationship where permitted by law.

    9. Website Chat and Electronic Communications

    If website chat or similar electronic communication functionality is made available, we may collect information you provide through that service. This information may include name, contact information, message content, business information, appointment requests, and other information you voluntarily provide. Chat or electronic communication records may be stored in our customer relationship management system and may be processed using automated or AI-assisted tools to help us respond to inquiries and provide requested services.

    10. Cookies, Analytics, and Advertising Technologies

    Blkfriars does not currently use advertising pixels, behavioral advertising technologies, or website analytics tools to track visitors for advertising or analytics purposes. We do not currently use personal information collected through the website for targeted behavioral advertising. Our website and service providers may use limited technical functionality, browser storage, cookies, or similar technologies where reasonably necessary to operate website forms, appointment scheduling, communications, security features, or other requested website functionality. We may update this Privacy Policy if our use of cookies, analytics tools, advertising technologies, or similar technologies materially changes.

    We use HighLevel, also known as GoHighLevel, as a customer relationship management and communications platform. HighLevel may process information associated with website forms, prospective client records, telephone communications, call recordings and transcripts, AI-assisted inbound calls, appointment scheduling, SMS communications, email communications, customer relationship management, information collection, and related business functions. HighLevel may use subprocessors and other technology providers to provide portions of its services.

    We use ChatGPT, provided by OpenAI, to assist a human reviewer in conducting AI Opportunity Audits and related analysis. Information submitted for an AI Opportunity Audit may therefore be processed through ChatGPT as part of preparing the requested assessment. Our handling of information through third-party services is subject to applicable agreements, provider terms, account configurations, and applicable law.

    13. Other Disclosures of Personal Information

    In addition to disclosures to service providers, we may disclose personal information when reasonably necessary to comply with applicable laws, regulations, legal processes, or governmental requests; respond to subpoenas, court orders, or other lawful requests; protect the rights, property, safety, or security of Blkfriars, our clients, users, or others; investigate fraud, misuse, or security incidents; enforce our agreements; establish, exercise, or defend legal claims; obtain advice from attorneys, accountants, insurers, or other professional advisers; complete or evaluate a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction; or carry out a disclosure you request or authorize. Records relating to SMS consent, opt-outs, communications preferences, transactions, or legal compliance may be retained for a period reasonably necessary to document compliance and protect our legal rights. You may request deletion of personal information as described below, subject to applicable exceptions and legal requirements.
